Legal Secretary

Based in Iselin, NJ, we are a multidisciplinary law firm known for its client-focused approach collaborative culture and commitment to delivering practical results. The litigation support team is expanding and seeking an experienced Legal Secretary and Medical Records Coordinator to join a growing team providing comprehensive legal and administrative support in a high-volume defense litigation environment. This role is ideal for a seasoned legal professional who values client-facing work organizational excellence and long-term professional stability within a supportive firm environment. This position offers a competitive salary range of $50,000–$70,000 and is fully on-site.

Responsibilities

  • Serve as direct point of contact with clients courts medical providers and other entities while answering incoming calls drafting correspondence and preparing and maintaining physical and electronic client files with accuracy and efficiency
  • Prepare and process medical records authorizations and subpoenas while maintaining subpoena charts tracking records requests deadlines and follow-ups and communicating with medical providers regarding outstanding records invoices and documentation
  • File pleadings prepare and work on discovery documents demands and responses coordinate and schedule depositions and organize client files pleading binders exhibits and other case materials while maintaining attorney and litigation calendars
  • Assist with coordinating workflow across a high-paced legal office while handling incoming and outgoing mail preparing good faith letters and final notices and providing comprehensive administrative support to attorneys and legal staff

Qualifications

  • High school diploma or GED required; bachelor's degree preferred
  • Legal secretarial experience required with 2+ years of legal secretarial experience preferred; experience with medical records strongly preferred
  • Strong organizational communication and time management skills with the ability to thrive in a fast-paced high-volume environment
  • Proficiency with Microsoft Office 365 ProLaw Excel and e-document management software preferred with strong self-motivation and the ability to work independently and collaboratively; this is a fully on-site position
